We are seeking an Assistant Property Manager who is creative, enthusiastic, zero delinquency driven, and a leader who is crazy about making residents happy! Under the general direction of the Property Manager, the Assistant Property Manager will own and drive assisting the Property Manager in effectively managing the assigned property of Berkshire Communities. RESPONSIBILITIES Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments Maintain professional standard of hygiene, appearance and dress Working Saturday and Sunday hours may be required INCOME COLLECTION Maintain accurate resident records Update on a daily basis all rents, other income charges, deposits and application fees received from residents Issue appropriate notices when necessary (eg, late payments, eviction notices, returned check notifications) Use of the OneSite System Letters & Notices is required as well as the use of the OneSite System Email Notifications/Email Campaigns Collect and electronically process rental and other income checks If necessary - an exception may be required to manually process a payment by stamping for deposit only and making a timely bank deposits Manage payments through the Resident Property Portal. Encourage residents to make payments electronically Actively pursue recovery of delinquent monies and provide list of delinquent accounts to attorneys for eviction action in accordance with state and local laws Ensure proper handling and scheduling of evictions and skipped units Send former accounts to collection agency/SURE Deposit Maintain record of all bad debt accounts showing payment progress RESIDENT RELATIONS Provide quality customer service to all prospective and existing residents Physically inspect property when on grounds, picks up litter and reports any service needs to maintenance staff Inspect move-outs and vacancies when requested Attend resident retention activities as required MARKETING Must be knowledgeable of all phases of leasing and resident retention Work with lease renewals each month Greet prospective clients, show property and perform leasing duties as needed Answer and handle incoming phone calls from prospective new residents, current residents, vendor/suppliers, etc. Monitor on-line lease applications Maintain awareness of local market conditions and trends Contribute ideas to Property Manager for marketing property and improving resident satisfaction Have an understanding of YieldStar Rent Revenue Management System ADMINISTRATIVE Understand, operate and manage the computer receivables system in accordance with company policies and procedures Update system daily for accurate reporting Organize and file all applicable reports, leases and paperwork Proof read all lease paperwork and process move-ins and move-outs Process all security deposit dispositions in a timely manner Accept service requests from residents and route to maintenance for prompt processing. Conduct service follow-up with resident when work is completed Maintain computer hardware, software and supplies in accordance with IT and Training Departments advice/instructions Be familiar with payables policies and procedures, and maintain payables system when directed by the Property Manager Process screening on applications as required Check "APM Personalized" Email continually during the day as well as property e-mail if this is assigned Have a working knowledge of all company approved software (ie Microsoft Office, RealPage OneSite, OPS Technology, NWP, Bluemoon, etc.) Follow required duties as listed on the monthly regional calendar Understand BerkshireA cents € (TM) s MATRIX and how it relates to property employee teamA cents € (TM) s Bonus Program GENERAL Perform any additional duties or tasks as assigned by Property Manager or property supervisor Attend meetings and training as required The Company may revise this job description from time to time as business needs require. Requirements JOB QUALIFICATION REQUIREMENTS: Knowledge/Experience: At least 2 years of experience in Customer Service or Sales Has had some experience in managing over people Technical/ Educational Requirements: High School diploma or GED required Cleary understand Microsoft Suite of Products (Word, Outlook, etc. Understand how to use the computer key board and telephone headset Is able to adapt to new technologies when required
