Johnson & Johnson Services Inc., a member of Johnson & Johnson's Family of Companies is recruiting for an Executive Assistant, located in Miami, Florida.
Reporting to a Vice President and above, performs complex administrative and secretarial duties. Sets up and maintains files. Types correspondence reports and forms. Answers telephone and take messages. Responds to phone requests by researching information. Works under general supervision.
â¢ Receives general work instructions. Sets priorities and procedures for accomplishing work. Work is generally varied and administrative or project oriented or may require the ability to train or lead others. Performs considerable coordination and follow through
â¢ Operates a variety of office equipment, such as a personal computer, printer, copier, facsimile, scanner or calculator. Progressively utilizes the features of all three standard business software packages up to the following certifiable skill levels:
o Word processor: Develops complex tables and charts (e.g., mathematical formulas, headers, font changes, and highlighting, split cells). Develops routine macros. Imports and exports data and graphic files
o Spreadsheets: Designs complex spreadsheets, with multiple function formulas, and prints desired sections. Links spreadsheets. Imports and exports to data, or word processing files. Creates graphic files and exports to word processing
o Database: Designs and implements program modifications and improvements. Imports and exports data
â¢ Reads mail, highlights action or important items, and attaches relevant files or information for manager(s) review. Responds to routine correspondence under own signature or drafts response for Vice Presidentâs review on more complex correspondence. Follows up on items delegated by Vice President to others

â¢ Screens calls for Vice President and responds to complex inquiries from all levels of employees or external sources regarding a variety of questions
â¢ Makes complex domestic or international travel arrangements. Closely control calendar, with authority to determine who may be scheduled and when
â¢ Coordinates with internal and external executive level staff to accomplish complex activities, such as scheduling, identifying outside speakers, and developing agendas or recreational programs for non-local group meetings or events. This may also include conducting research and compiling information for monthly, quarterly or annual reports, departmental projects or company task forces, where information must be gathered and compiled from a variety of sources
â¢ Responsible for cash or negotiable instruments, confidential records or reports, or departmental equipment
â¢ Collects and compiles data from several sources of information. May perform a variety of calculations.
â¢ May determine methods and procedures on new assignments, and may provide guidance and direction to other personnel
â¢ Follows all standard operating procedures
â¢ Responsible for ensuring personal and company compliance with all Federal, State, local and company regulations, policies and procedures for Health, Safety and Environmental compliance
â¢ Position may include up to 5% travel, domestic and international.
AA degree or equivalent from two-year college or technical school required. Bachelor's degree in an applicable field of study would be an asset.
Experiences & Skills:
â¢ 9 or more years of related experience and/or equivalent combination of education/training and experience, including at least 5 years of related professional experience required
â¢ Previous experience as an Executive Assistant preferred
â¢ Ability to use PC and associated software required
â¢ In-depth knowledge of the Microsoft Office Suite including Excel, Word, and PowerPoint required
â¢ Good written and oral English communication skills with excellent grammar required, proficiency in a second language preferred
â¢ Experience planning international travel preferred
â¢ Incumbent is seen as senior resources on administrative matters both internally and externally to department
