As part of the Ryder team, the Administrative Assistant II : (Legal) position provides confidential administrative support to legal staff; may provide specific secretarial support to a particular legal specialty, such as operations, human resources, litigation, corporate affairs, finance, asset management, intellectual property, etc.High School diploma or GED equivalent is requiredMinimum of 3 (three) years of prior advanced administrative experienceIntermediate level skills with MS Word such as including styles, mail merge, tabs, tables, columns and breaks, graphics, fields, headers and footers, working with margins, page orientation, and spelling/grammarIntermediate level skills with MS Excel such as freezing/unfreezing panes, hiding/un:hiding data, setting print titles and page breaks, linking workbooks, creating external links, re:directing links, customizing toolbars and menus, protecting a worksheet, filtering options, and chart formatting optionsProgressively responsible secretarial and/or legal office experience requiredPosition requires good command of the English languageADDITIONAL REQUIREMENTS: Utilization of knowledge of legal procedures and handling of confidential information in the provision of specialized administrative support to professional and/or paraprofessional legal staffProficient customer service and phone etiquette skill Candidate must have the ability to be detailed, proactive, and able to handle multiple tasks in a timely mannerMust have the ability to be a team player in assisting othersSuccessful candidate must be able to work with all levels in the organization and have an ability to work independently with little supervisionCandidate must also have demonstrated an ability to perform assigned tasks under own initiative and an ability to prioritize and organizePrior knowledge of company procedures and policies is preferredAbility to communicate clearly and accuratelyAbility to show patience and courtesy when dealing with peopleAbility to communicate effectively both orally and in writingThe use of transcribing equipment and notary public licensure are desiredThe responsibilities of the Administrative Assistant : II (Legal) include but are not limited to the following: Prepares documents and correspondence requiring knowledge of legal terminology and formats such as letters, contracts, briefs, policies, and pleadingsPerforms a wide variety of other routine secretarial and administrative tasks, including gathering relevant information and documents, under direction, or compiling legal data from sources such as computer databases, digests, or practice manuals for litigation and claims; performing typing assignments, which may be confidential in nature and require research to complete; and using word processing and spreadsheet programs to compose, edit, revise, tabulate, and print letters, tables, reports, and other materialsAssistant will be responsible to establish, maintain, process, and oversee files, correspondence, databases, records, certificates, and/or other documentsSchedules appointments and performs other duties related to maintaining supervisors schedule; may schedule and coordinate meetings and conferences, including travel and lodging arrangements, facilities, and vendor and conference participant paymentsWill arrange teleconferences with local, regional, and national law firms, as well as internal clients and consultants, as requiredOpens and routes office mail as appropriate; may serve as receptionist for the office, providing information to callers and visitors, and directing them as appropriatePerforms miscellaneous job:related duties as assignedPreparation of legal documents and various other correspondence requiring knowledge of legal terminologyMaintenance and oversight of computer databases and management of confidential recordsGathering of data as requested Ryder is proud to be an Equal Opportunity Employer and Drug Free workplace.
