Mission and Main Responsibilities
As Sales Coordinator, you will be responsible for the day to day management and operation of our Miami office, direct support for the Divisional Vice President, and also support the broader team with analysis and reporting. This includes managing the office budget and billing, office inventory management and replenishment, event and calendar management, planning travel, and sales team support using internal and external data sources for analysis and reporting. The position responsibilities include:
:Administrative Support: Support the Divisional Vice President (direct manager), and the Divisional Leadership team on scheduling/maintaining calendar, meeting coordination and assisting with travel plans and reservations. Lead coordination of all team meetings/calls and track department Paid Time Off (PTO), T and E spending, and office bills.
:Budget and Contract Management: Manage and process the following for on:time payment: monthly bills, contracts, and Data/Tools Budget. Activities include but not limited to: working with SAP to ensure timely payment of invoices, Purchase Order creation, working closely with Team leaders/ contract owners to ensure contracts are signed, billing schedule is aligned. Ensure that Finance Department is aligned on all budget spending, processing and forecast for another year.
:Team Recruiting/Onboarding: Manage all scheduling for interviews, including interviewer travel accommodations, phone screens, in:person interviews, etc. Manage new hire onboarding process with hiring manager, including updating internal systems, setting up appropriate systems, providing necessary tools and supplies (laptop, corporate cards, etc.), and scheduling initial meetings.
:Project Coordination: Coordinate and manage special projects, at the request of the Divisional VP, which may include: planning and coordinating multiple presentations, disseminating information, creative work, creating brochures:a nameP16_2892::a nameP17_2986:, pulling data reports in IRI, Nielsen, and other Category tools.
:Event leadership and coordination: Lead logistics and coordination of Sales Strategy meetings (bookings, food, materials needed, etc) and events as well as be the single point of contact to coordinate all logistics of Customer Visits to Head Quarters (location, rooms, food, samples, etc)
:Office Maintenance/Management: Maintain and organize the office including common areas, the copy room and kitchen area for general upkeep as well as the ordering and maintenance of office supplies and Yogurt for the office.
The ideal candidate will have:
:Minimum of 1 year CPG, or similar job function, experience preferred
:Bachelor's Degree required
:Proficient in Microsoft Office Suite : Word, Excel, PowerPoint
:Superior communication skills (written and verbal)
:Experience working in cross:functional teams
:Excellent attention to detail
:Excellent organization skills
:The ability to maintain confidential information and handle sensitive information
