Information Systems Administrative Assistant Job Code: 2017-03-08001 Location: Midtown Miami Department: INFORMATION & QUALITY SERVICES FT/PT Status: Full Time Description/Summary: JOB SUMMARY The Information Services Administrative Assistant supports the overall functions of the IT department across locations in a non-technical role and provides assistance in the documentation, tracking, oversight and flow within the department. Job Responsibilites: ESSENTIAL JOB RESPONSIBILITIES Provides clerical assistance to all members of the IS department. In conjunction with supervisor, oversees the scheduling of resources and associated materials for meetings. Participates in all IS department and intra-department meetings involving the IS department. Documents meeting activities with audio recordings and detailed written notes/minutes. Provides follow-up as designated on tasks, processes, and next-steps within and outside of the department. Assists with the purchasing process including requisitions, documentation, submissions, orders, and receipt of materials. Acts as department's point of contact for scheduling and related IS functions. Research's pre-purchase items, pricing, and authorizations for purchase. Engages with vendors in the pre- and post-sales process. Follows-up on invoicing and billing issues. Maintains and handles product, software and support renewal dates to ensure timely processing. Generates and maintains both electronic and physical files as required. Participates in the asset management process of all IS equipment ordered, received and deployed. Prepares and maintains inventory and order supplies and consumable items Acts as the primary resource for non-technical issues. Provides insight, recommendations and assistance with channeling both technical and non-technical issues and resources. Safety Ensures proper hand washing according to Centers for Disease Control and Prevention guidelines. Ensures each new client receives screening for their risk for suicide. Understands and appropriately acts upon assigned role in Emergency Code System Understands and performs assigned role in Agency Continuity of Operations Plan (COOP) Culture of Service: 3 C's Compassion Greets internal or external customer (ie patient, client, staff, vendor) with courtesy, making eye contact, responding with a proper tone and nonverbal language Listens to internal or external customer (ie patient, client, staff, vendor) attentively, reassuring an understanding of the request and providing appropriate options or resolutions Competency Provides services required by following established protocols and when needed, procure additional help to answer questions to ensure appropriate services are delivered Commitment Takes initiative and anticipates internal or external customer needs by engaging them in the process and following up as needed Prioritize internal or external customer (ie patient, client, staff, vendor) requests to ensure prompt and effective response is provided Other Participates in agency developmental activities as requested. Other duties as assigned. Qualifications: Education: High school diploma required. Training and Experience: At least two years of experience working in an office environment. Job Knowledge and Skills: Proficiency with MS Office applications (Word, Excel, PowerPoint). Good written and verbal communication, organizational and interpersonal skills are required to interact with employees, multitask efficiently and resolve daily problems in a timely manner. Detail-oriented and adaptable and open to change and being able to work in ambiguous situations and respond to new information and circumstances. Ability to work with multicultural and diverse population is required. Flexible schedule is necessary. Contact Responsibility: The responsibility for internal contacts is frequent and important.
