This is an administrative position in the Miami Medicaid Field Office, within the Bureau of Recipient and Provider Assistance within the Division of Medicaid, Agency for Health Care Administration. The incumbent in this position is responsible for providing clerical assistance to Field Office staff. The incumbent in this position shall maintain up-to-date knowledge of the Florida Medicaid program and the operation of the Medicaid field office.

The incumbent in this position provides support to the Provider Services section of the Medicaid Field Office. This is an Administrative Secretarial position that includes technical work operating computer equipment. Work requires a high degree of accuracy and involves specific recipient related research, identification of recipient file errors and assignment of issues to appropriate professional staff. Prints and prepares mailings for the Field Office.

The incumbent in this position shall assist the LTC facility liaison to facilitate contact with and tracking of recipients residing in Assisted Living (ALF) or Skilled Nursing (SNF) Facilities that are closing or have been terminated from the Florida Medicaid program to ensure these recipients are relocated to new facilities. The incumbent shall assist PA with verifying contact information of family members or other responsible parties and distribution of Family Information Kit to affected recipients by mail. Maintain resident tracking log and with regular updates of resident status and recording transfer location.

The incumbent shall ensure that requests and assignments are logged into the appropriate data bases and updates are entered as needed. The incumbent shall produce reports regarding the current status and disposition of requests and assignments as directed by the FOM or direct supervisor.

The incumbent in this position shall maintain an activity tracking log to record participation of field office staff in Government and Community Partnerships, Community Outreach Events, Medicaid Overview Presentations, Local Transportation Boards, Community Alliances, Interagency Teams, Local Planning Groups, HIV Planning Councils, Healthy Start/KidCare Coalitions and Social Services Forums. The incumbent shall assist with preparation and distribution of Agency resources in response to field office staff participation in these events.

The incumbent shall perform all needed clerical duties in the office including, but not limited to the following. Receives, screens and routes telephone calls related to policy and procedures and shares the reception duty for the office. Receives, screens, and distributes all incoming mail. Prepares, meters, and distributes outgoing mail. Assures pick-up and delivery of mail. Utilizes Microsoft Office, and inputs data in a timely and accurate manner. Operates and/or utilizes a variety of standard business and office machines and equipment including computer, typewriter, mail meter, fax machine, copier, etc. Assists staff with assembling training packets. Serves as back-up for processing travel vouchers.

  • Two years of secretarial or office clerical work experience.
  • A high school diploma or its equivalent can substitute for one year of the required experience.
