Job Description The Administrative Assistant will support Sales & Marketing and be responsible for a broad range of administrative and sales coordinator duties. This position will require initiative, judgment, independent decision making, as well as customer service skills. The professional in this position must project warmth and enthusiasm toward internal and external clients. This person will be a proactive member of the team by volunteering and participating in tasks and events while providing input and suggestions. Essential duties include, but are not limited to: Preparation of weekly, monthly, quarterly sales team reports Maintain all department forms, tools, shared drive, etc. Book travel & prepare expense reports Assist with variance research for monthly expenses Assists in responses to clients including letters and or phone calls Serve as a partner to other departments and assist in training administration, record keeping, etc. Must have the ability to incorporate creative approaches to various projects by taking initiative and working independently Prepare reports and/or special projects, which may include data collection, coordination, final copy preparation, distribution, etc. Become familiar with all department functions in order to communicate on them effectively and accurately Supports Sales team with additional duties and projects as needed Communicate with clients in both English and Spanish with the ability to read and write in both languages Qualifications: Three years or more of clerical/administrative experience required, college degree preferred Advanced computer skills including Microsoft Office – Word, Excel and Outlook required; PowerPoint strongly preferred Working knowledge of (BI) Business Intelligence Report preferred Ideal background is an individual who has worked within a Sales and Marketing Department of an export or pharmaceutical sales company Must operate well in a team environment as well as perform job duties with little supervision Fully Bilingual (English/Spanish) Read and compose correspondence in both English and Spanish Additional Information: Temp to Hire Hours: 8:30 am to 5:30 pm (punctuality and attendance are very important) Pay Rate: $18.00 to $20.00 hourly Once permanent company offers excellent benefits.
