Ref ID: 01020-9501109919Classification: Account Executive/Staffing ManagerCompensation: $17.00 to $20.00 per hourWe are seeking an Administrative Assistant in the Kendall area. The ideal candidate will work in close coordination with our team assisting several departments. Specific Responsibilities include, but are not necessarily limited to : Answer phones and takes and delivers messages; Performs filing, copying, mailing, general office duties including operation of typical office machines; eg printers and copy machines; Composes/types basic correspondence and reports (including confidential and sensitive materials); Order and maintain office supplies, as required; Prepares internal team communications, meeting agenda, schedules meetings via Microsoft Outlook, and documents meetings through preparation of meeting minutes; Prepares presentations using Microsoft PowerPoint; Develops and maintains information in spreadsheets using Microsoft Excel; Serves as the program management team's office software expert and provides support to staff members as required; Accounts Receivable - follow up with clients on payments issues, Accounts Payable - receive and review all vendor invoices for payment; Act as liaison between program staff and client's staff including arranging meetings, clarifying and resolving minor problems, coordinating work, maintain working relationships, assisting in compliance with the Department's security requirements, etc.; Oversee and/or process day-to-day administrative items; Provide direct project support to assigned project managers, including but not limited to reports, studies, spreadsheets, schedule preparation, meeting organization and note taking, etc. per project manager's requests; Maintains a master calendar for the Program; Research and report on various matters related to the Program; Assists with editing and proofreading text and graphics, as necessary on submittals/deliverables to the client. Strong proofreading, editing, and English grammar are required. Strong interpersonal skills with all levels of staff, clients, and community members are required.
