Job Description
JOB SUMMARY The Administrative Assistant/Site Coordinator provides administrative support to the Operations and Maintenance department at the Miami Dade Airport. Responsibilities may include screening calls, availability reports, managing calendars, creating invoices, drafts, memos, emails, and handles all filing for the department. This person must be detail oriented and have a proven history of strong organizational skills.
:Supports O and M Manager and Technical Manager in various areas such as incoming calls, scheduling, record keeping, coordination of meetings, safety meetings, etc.
:Answers, screens and transfers inbound phone calls
:Responsible for photocopying, faxing, and filing
:Organizes and prioritizes large volumes of information
:Resolves administrative problems and inquiries in a professional and timely manner
:Prepares and modifies reports, drafts, memos and emails, including Availability Reports
:Monitors and corrects work orders within our Maintenance Management Software database
:Schedules and coordinates meetings for the O and M department
:Acts as a liaison with other departments and outside agencies, including MDAD
:Keeps track of all projects and updates calendar to reflect when personnel are out of town
:Responsible for departmental bookkeeping, accounting, billing and safety meeting
:High school diploma or equivalent
:Previous Administrative Assistant experience required
:Previous bookkeeping, accounting and billing experience is a plus
:Knowledge of principles and practices of basic office management
:Knowledge of clerical and administrative procedures
:Excellent communication skills: written and verbal
:Strong computer skills using Microsoft Office and Excel
:Excellent time management skills
:Strong organizational and planning skills
:Works independently and within a team
:Must be reliable and punctual
